1. Data Controller

Ghost Hunters Map (“we”, “our”, “the site”) is an independent project dedicated to mapping paranormal research teams worldwide. For any privacy-related matter, contact us at [email protected].

2. What Data We Collect

a) Registered users

When you create an account we collect your email address, chosen username and a hashed password. This data is necessary to provide the service (Art. 6(1)(b) GDPR — performance of a contract).

b) Team profiles (submitted by users)

If you submit or claim a team profile you voluntarily provide: team name, city, country, website, social media links, equipment list, investigation videos and a group photo. This data is published publicly on the site as the core purpose of the service.

c) Imported and scraped data

We have imported team listings from publicly available paranormal research directories (including paranormalsocieties.com and related sources). Imported data may include team name, general location, publicly listed contact email and phone number. The legal basis is our legitimate interest (Art. 6(1)(f) GDPR) in building a comprehensive global directory, combined with the fact that this information was already made publicly available by the organisations themselves for the purpose of being contacted. You may request removal at any time (see Section 7).

3. Outreach Emails

If your team appears in our directory and we hold a publicly listed contact email, we may send you a one-time notification informing you of your listing. Every such email contains a link to permanently remove your team from the directory at no cost. This processing is based on legitimate interest (Art. 6(1)(f) GDPR).

4. Cookies

We use only functional cookies required for the login session (set by WordPress). We do not use tracking cookies, advertising cookies, or third-party analytics services such as Google Analytics. No personal data is shared with advertisers.

5. Third-Party Services

  • Brevo (Sendinblue) — used to send transactional and outreach emails. Data processed: recipient email address and team name. Brevo is GDPR-compliant and processes data within the EU. Brevo Privacy Policy.
  • OpenStreetMap Nominatim — used to geocode team locations (city + country). No personal data is transmitted.
  • Cloudflare — provides DNS and CDN services. Standard server access logs may be retained per Cloudflare’s Privacy Policy.

6. Data Retention

  • Registered user accounts: retained until account deletion is requested.
  • Team profiles: retained until removal is requested by the team or an administrator.
  • Outreach send log: retained for 12 months to prevent duplicate mailings.
  • Imported data for teams that request removal: deleted immediately upon request.

7. Your Rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Delete your data (“right to be forgotten”)
  • Object to processing based on legitimate interest
  • Portability — receive your data in a structured, machine-readable format

To exercise any right, email [email protected] or use the removal link included in any outreach email you received from us. We will respond within 30 days.

8. Changes to This Policy

We may update this policy periodically. The “Last updated” date at the top of this page reflects the most recent revision. Continued use of the site after an update constitutes acceptance of the revised policy.
